Issues managing training plans and uploading users in the Admin Center

If you're having trouble managing training plans in the Admin Center, whether it's editing them or uploading participants, this article will help you address several scenarios.

Invalid emails

When entering student emails in Users, some might not be added. This is because the email format is incorrect or invalid. Here is the difference:

Incorrect format:

  • Refers to emails that do not contain an "@". These will not appear on the “Invalid users” list; they simply will not be included in the list.

Invalid format: Refers to all emails that have any of the following 3 issues:

  1. Email structure: Includes the @ sign but is missing the period and the domain extension. Here is an example: Structure error → user@company / Expected format → user@company.com (or .org)

  2. Language: The email is already enrolled in another training plan with a different language (1 student user can only have 1 language available).

  3. Duplicates: They are already enrolled in the training plan.

This logic aims to prevent assignment errors and improve the quality of the data entered.



Users with errors can be bulk deleted

If you entered users with typos:

  • You can delete them in bulk.

  • This option is available in the same user upload panel.

This makes it easier to clean up incorrect records without having to do it one by one.


Deleting training plans in draft status

If and only if a training plan is in DRAFT status, you can delete the training plan or the students as follows:

This allows you to correct setup errors before the training plan is active.


Viewing training plan duration

Training plans show their duration in weeks on the Catalog tab. The end date is calculated automatically based on the start date and the duration of each training plan. From the Training plans tab, you can enter each one to see the remaining time in days.


Changing the start date

You can change the start of the training plan up to the day before the start date. In other words, you can modify training plans with Draft and Not Started status.

To do so, you must:

  1. Go to Training plans

  2. Select the training plan you want to modify

  3. Click the edit button (pencil icon at the end of the row)

  4. Click the Start text box in the Dates section and select the new date.

Note: If you try to do this on the same day or later, you won't be able to make changes, and the days will start counting down based on the duration set in the Catalog.

Tip: If a training plan is in Draft status on the course start date, it will not start. It will only start if the participants are confirmed (It changes from Not Started to Active status on the start date).


General recommendations

To avoid issues when uploading users:

  • Keep projects in Draft status until you are certain of the participants and the start date.

  • Verify that the emails are spelled correctly before uploading them and modify them according to what the platform indicates. If they do not upload, it's because they do not have an email structure.

  • Wait a few minutes before verifying the number of participants; it might take some time to upload and display them.

  • Use bulk deletion to correct errors quickly.
